Multi-channel appointment reminders — click-by-click Make, Gmail, and SMS guide
You booked the appointment. The client confirmed. Then they ghost on the day — and you lose a slot you could have filled.
Multi-channel appointment reminders sleep until 24 hours before, send a friendly Gmail reminder, optionally SMS two hours before when a phone is on file, and flag no-shows in your tracker. Cancelled bookings are skipped because the scenario re-checks status before every send.
The outcome: typically recover 20–40% of would-be no-shows with email + SMS branching (in our tests) — without awkward phone tag while you are mid-day with clients.
Who this is for
- Service businesses graduating from Season 1 email-only reminders
- Teams ready for Make Sleep modules and an optional SMS branch
- Owners who already collect phone numbers at booking (E.164)
Not for you if… you only need simple email reminders — start with Season 1 Playbook #4. Or if every booking already runs through Calendly/Acuity with native reminders.
What's gated
Problem, outcome, and who-it's-for are public here. Full click-by-click Make paths, soft-fail Routers, email + SMS templates, troubleshooting, and no-show steps are in the full playbook (Season 2 launch / All Access path).
Next level: Pair with Season 2 intake and routing playbooks once the Make track is live.
Pairs well with: Season 1 appointment reminders — email-only first, then upgrade here for SMS.
Frequently asked questions
Why Make instead of Zapier for reminders?
Sleep-until-timestamp and branch-on-phone are natural in Make scenarios. Linear Zaps can approximate them but burn tasks and break more easily on reschedules.
Do I need Twilio?
Only for the SMS branch. Email-only still cuts most no-shows — delete the SMS router if you only have email addresses.
Is this part of the free Season 1 drip?
No. This is Season 2 Playbook #1 — Make-native graduation content, not in the free #1–11 sequence.
How long does setup take?
About 45 minutes for a first-time builder (not 30) if you already have a client tracker and, for SMS, phone numbers in E.164 format. Experienced Make users often land closer to 25–30 minutes.
What if I already use Calendly reminders?
Use Calendly's native reminders when every booking flows through one app. Wire this when appointments live in Google Calendar or a sheet and you want email + SMS from your own stack.
How do I get the full setup guide?
Season 2 launch / All Access — the full playbook includes the Make module map, soft-fail status checks, templates, Datenschutz note, and no-show policy steps.
