Job completion checklist — click-by-click Google Sheets, Zapier, and Gmail guide
The work is done. The client is happy in the moment — then you drive to the next job and never send the wrap-up. No summary. No care instructions. No natural next offer. The relationship cools for no reason.
Job completion automation watches a Google Sheet (or CRM “job done” status). When a row flips to Complete, Zapier filters for a blank summary_sent flag and a real client email, then sends a short summary from your Gmail with a simple checklist and one optional upsell line — and marks the row sent so you never double-mail.
The outcome: typically every finished job closes clean the same day (in our tests); clients know what happens next; you surface one relevant add-on without living in drafts.
Who this is for
- Local service businesses that finish jobs in the field and forget admin afterward
- Solo owners and small teams without a dedicated CS person
- Teams that already request reviews (Playbook #3) and want the wrap-up before the review ask
Not for you if… every completion already lives in Jobber/Klaviyo with a working post-job sequence. Wire this playbook when job status lives in a Sheet (or simple CRM export) and you want emails from your Gmail.
What's gated
Problem, outcome, and FAQs are public here. Full Zapier paths, email template, checklist columns, and upsell rules are in Playbook #7 via free email subscribe.
Pairs well with: Google review request — send the completion summary first, then schedule the review ask. Next: Referral ask once the client is warm.
Frequently asked questions
Why send a completion summary at all?
Clients forget details the same day. A short summary typically reduces “what did we agree?” replies (in our tests), documents care steps, and creates a calm moment for one relevant next offer.
Do I need a CRM?
No. Google Sheets + Gmail + Zapier is enough. Add a CRM later when volume justifies it.
What triggers the email?
Typically a Sheet column changing to Complete on a new or updated row, with summary_sent still blank and a real client_email present. Same logic works from a CRM “job completed” webhook later.
Won't an upsell feel pushy?
Only if you pitch a catalog. One sentence tied to the job type (e.g. seasonal maintenance, filter replacement, follow-up visit) reads as helpful, not salesy — leave the field blank when nothing fits.
How long does setup take?
About 40 minutes for a first-time builder on Zapier's free tier at low volume (closer to 20–25 if you already know Zapier).
