Referral ask after job complete — click-by-click Google Sheets, Zapier, and Gmail guide

Beginner~35 minGoogle Sheets · Gmail · ZapierTypically turn satisfied clients into a predictable referral channel (in our tests) — timed ask + day-21 nudge without awkward in-person asks

You delivered great work. The client would happily refer you — then nobody asks, and the moment passes. Referrals stay a hope instead of a system.

Referral-ask automation watches a Google Sheet (or CRM “job done” status). Fourteen days after completion — ideally after a review ask — the client gets a short referral email from your Gmail. Still quiet? A gentle day-21 nudge. If the job was cancelled or already asked, the Zap soft-fails and does not send. No awkward in-person asks. No hoping they remember you.

The outcome: happy clients get asked on schedule; word-of-mouth becomes a repeatable channel, not a parking-lot afterthought. Results typically vary by niche — treat referral rate as an operating metric, not a revenue promise.

Who this is for

  • Local service businesses that live on referrals but forget to ask
  • Solo owners and small teams without a CS person chasing intros
  • Teams that already send review requests (Playbook #3) and wrap-ups (Playbook #7)

Not for you if… loyalty / referral flows already run in Klaviyo or Mailchimp off purchase events you trust. Wire this playbook when the trigger is “job marked complete” in a Sheet — timed off real delivery, not a list segment your ESP can’t see without Zapier.

What's gated

Problem, outcome, and FAQs are public here. Full Zapier paths, email templates, Sheet columns, soft-fail rules, and troubleshooting are in Playbook #8 via free email subscribe.

Pairs well with: Google review request — ask for the review first (day 2–7), then this referral ask (day 14+). Before: Job completion checklist so the relationship closes clean before you ask for intros.

Frequently asked questions

Why wait 14 days instead of asking the same day?

Same-day asks compete with the invoice and the review ask. ATW sequences review first, then asks for a referral once the client is a proven happy customer — higher trust, less awkwardness.

Do I need a CRM or paid referral software?

No. Google Sheets + Gmail + Zapier is enough. Add tracking links or rewards later when volume justifies it.

What triggers the referral email?

Typically a Sheet column changing to Complete (optionally after reviewed = yes). After a 14-day Delay the Zap re-checks the row — if status soured or you already asked, it stops before Gmail (soft-fail).

Won't a referral ask feel pushy?

Only if you demand intros or pile on incentives. A short “know anyone who needs this?” plus an easy link reads as helpful, not salesy.

How long does setup take?

About 35 minutes for a first-time builder (Sheet columns, Delay + soft-fail, ask + optional day-21 nudge, one test). Experienced Zapier users often land closer to 20–25 minutes.
