Draft replies to Google reviews — click-by-click Sheets, Gmail, and Zapier guide

Beginner~35 minGoogle Sheets · Gmail · ZapierTypically keep reputation warm without evening admin (in our tests) — every new review gets a draft reply you can send in one tap

A new Google review lands. You mean to reply later. Later never comes — and the thread goes cold while competitors look responsive.

Review response templates draft a reply when a new review appears — positive, constructive, or thank-you — so you can send in one tap after a quick read instead of staring at a blank box at 9pm. Automation drafts; you post to Google Business Profile.

The outcome: typically every new review gets a draft on schedule (in our tests). Reputation stays warm without evening admin.

Who this is for

  • Local service businesses that earn Google reviews but answer slowly
  • Owners tracking jobs in Sheets who refuse fake “guaranteed 5-star” claims
  • Teams that want draft-then-send (human send), not fully automatic public replies

Not for you if… a reputation agency or GBP auto-reply already answers every review with a human-sounding reply.

What's gated

This page covers why and what to expect. The full playbook — tracker columns, three templates, Gmail capture, Zapier click-by-click, soft-fail skips, troubleshooting — is free via email (Playbook #11 in Season 1).

Pairs well with: Google review request to ask first, then this workflow to answer what comes back. After replies are habit: Referral ask.

Frequently asked questions

Should I auto-post replies to Google without reading them?

No. Let automation draft; you (or a trusted teammate) send after a quick read so tone stays honest. This playbook never auto-posts to GBP in v1.

What if a review is negative?

Use the constructive template, stay calm, and move the fix offline with a phone or reply ask — do not argue in public.

Is it okay to offer a discount for a higher star rating?

No. Do not incentivize rating changes. Reply honestly and fix the issue offline when needed.

What tools do I need?

Google Sheets, Gmail, Zapier, Google Business Profile access, and Google’s new-review notification emails (or a review-monitoring tool with a Zapier trigger).

How long does setup take?

About 35 minutes for a first-time builder (closer to 20–25 if you already know Zapier Filters and Formatter).
